Each session is structured but not rigid. We follow the evidence. If something significant emerges in session two, we follow it. The framework exists to make sure nothing important gets missed.

The business and its people
History, ownership, structure, culture
We start by understanding the business as a whole: its history, its ownership, how decisions get made, and who the people are. Not the org chart version. The real version. We're looking for where the critical knowledge sits, who the business would genuinely struggle without, and what the culture is actually like to work in. What the goals are for the owner and the business.
A business owner who has been running on instinct for 20 years carries an enormous amount of knowledge that nobody else has access to. This session starts mapping it.

The work and how it flows
Processes, bottlenecks, and breakdowns
We walk through the core processes of the business end to end. How an order comes in. How a service gets delivered. How quality is managed and how information moves between people and systems. We're not looking for what's supposed to happen. We're looking for what actually happens.
This is where the bottlenecks, duplications, and breakdowns show themselves. Most of them are invisible to the people inside the business because they've been working around them for years. Having someone come in from outside and ask "why does it work that way?" tends to surface things quickly.

The people systems
HR, compliance, training, performance
This session reviews the HR and compliance infrastructure of the business. What documentation exists, how onboarding and training are handled, how performance is managed, and what policies are in place. We cross-reference what's documented against how the business actually operates, because the two are often quite different.
For many businesses, this session is the most confronting. Not because they've done anything wrong, but because they can see clearly for the first time where the real exposure is.

Synthesis and planning
Findings, priorities, the roadmap
The fourth session is a conversation, not a presentation. We bring our finding back to you, walk through what we found, and work through the priorities together. You know your business. We've spent these sessions getting to know it too. The plan that comes out of this session reflects both.
By the end of this session, you have a sequenced improvement roadmap, what to tackle first, what needs to happen before something else can begin, and what the realistic shape of the work looks like. You leave with that plan in writing. You choose whether to engage us for further work or not.

Things people ask before booking
The honest answers.
How long does the whole thing take?
Typically four to six weeks from the first session to receiving the plan. The sessions themselves are two to three hours each. In between sessions, there's nothing required from you except showing up and being honest. We do the analysis work in between.
Can it be done remotely?
Sessions can be done remotely where needed. In-person is preferred, particularly for session two, because seeeing how work actually happens is very different to hearing it described. For businesses in Central and North East Victoria, we'll come to you. Further afield? Let's chat.
It'll take too long to bring someone up to speed on our business.
We've heard this before. The truth is, we're experienced at reading businesses quickly, and the Diagnostic process is specifically designed to give us a thorough picture without requiring you to write a brief or prepare anything onerous. The onboarding burden on you is low. The first session is largely us listening.
Do we have to proceed with implementation after the Diagnostic?
No. The Diagnostic is a standalone engagement. You get the plan at the end and you decide what to do with it. Some clients proceed with The Hayhart Group. Some do the work themselves. Some come back months later. The plan is yours regardless.

Often this is because the previous attempt either lacked the right methodology, didn't involve the people doing the actual work, or there wasn't genuine owner commitment to follow through. The Diagnostic starts by understanding what's actually there, and what you've looked at previously.
What if we're not sure we're ready to change things?
The Diagnostic is a good place to start regardless of your confidence level. Knowing what needs to change, and in what order, is valuable even if you're not ready to act on it immediately. Most owners leave the Diagnostic feeling more confident, not less, because the problems have names and a sequence instead of a general feeling of dread.

This isn't a purchase you make before anyone has spoken to you. It starts with an application, a conversation, and a mutual decision that this is the right fit. No payment until that point.

Sessions begin
A short intake form with five questions about what is going on in your business right now. Tells us enough to know if we can genuinely help. If you have already completed the Business Health Check, we'll use those answers.
Within one business day, we read your application. You will then receive a personal message from us inviting you to a short call. If the timing or fit is not right, you will hear that honestly too.
About 20 mins. A chance to meet properly, ask questions on both sides, and confirm this is the right programme at the right time. You have not committed to anything at this point, and neither have we.
If both sides agree it is the right fit, payment of $2,995 is confirmed. We then schedule your four sessions together, agreed as a partnership.
The Diagnostic begins. Four structured sessions over four to six weeks, in person where possible. Written Improvement Plan delivered at the end. You keep it regardless of what comes next.
